Rental Rate Levels

We rent equipment and facilities to our members at fees based on the type of usage. All rentals will be quoted/invoiced at P Rate unless the user specifies a different rate. Rate Levels are applied to individual projects, not the user. 
Only current Ed Video members may rent equipment. If you have questions about how your project applies to the rental rate schedule, please contact staff.

The Artist Rate is for creative works over which the Artist has complete creative control and copyright. The renter must be the Primary Creator of the project. The project must be funded independently or through arts council granting programs. The Artist Rate is for projects such as:
  • Experimental video & media art
  • Self-initiated documentaries & activist videos
  • Short and full-length films
  • Music videos, provided that the renter is a member of the musical act.
The Profit Rate is for projects being done on behalf of for profit organizations, individuals and companies, regardless of how or if the renter is being paid. All rentals are considered Profit Rate unless otherwise informed. Profit Rate is for projects such as:
  • Commercial work such as advertisements, promotional videos, product demonstrations and tourism videos
  • Documentation of non-arts events or skill instruction
  • Hired work for business or individuals, regardless of if the renter is being paid
  • Work done for the member's own business or services, such as those listed above

The Community Rate is for community projects and commissioned projects. This rate applies regardless of whether the member/renter is being paid for their work. The Community Rate is for projects such as:
  • Videography for or by non-profit organizations, charities, community groups
  • Wedding and personal videos
  • Arts events such as festivals and exhibitions
  • Music videos, where the member/renter is non a member of the musical act. 
  • Hired work for independent media projects wherein the member is not the primary creator/copyright holder

The Educational Rate is for educational projects, such as non-profit workshops and youth programs, as well as for members looking to practice with an equipment item. Educational Rate bookings may only be used for 1 rental day at a time. Weekend Educational Rate bookings may only be booked on the Thursday or Friday of the same weekend. 


Rental policy

1.  All Members must complete appropriate training or submit proof of skill, as described in the "Training Requirement” Policy before being able to access equipment rentals. Ed Video staff will deny equipment access until determined requirements are met.

2. The Renter is responsible for returning all equipment in the condition in which they first rented it. 

3. In the event of loss or theft, the Renter is responsible for the $1,000 insurance deductible, or the first $1000 in replacement.  The Renter must inform Ed Video staff of the theft immediately and provide a copy of a police report immediately after filing, and at the nearest business hours of the centre. Please see Ed Video’s "Reporting of Theft, Damage or Loss” policy.

4. In case of equipment damage, the Renter is responsible for the cost of repair or replacement at a minimum of $500, and up to $1,000. 

5. Renter must report any loss, damage or malfunction of equipment to Ed Video’s technical staff immediately. 

6. Ed Video will accept no liability for losses due to failure of equipment.

7. The Renter must ensure the safe delivery of the equipment to Ed Video. It is not acceptable to send the equipment via courier, bus, or post, unless prior arrangements have been made with staff to do so.

8. The Renter must return all equipment by 11 AM on the scheduled return date, or make appropriate arrangements with staff prior to return time. Late returns will result in late fees and penalties as follows:
a)50% of daily rental rate for equipment returned after 12pm but before 5pm. 150% of daily rental rate per day for each calendar day that follows.
b)If the Renter fails to return the equipment on the scheduled return date, or if the late return interferes with another equipment booking, this will result in a 90 day suspension of rental access. A second offence will result in a 365 day suspension of rental access. The Renter will continue to have access to facility rentals and all other membership privileges.
c)Volunteer and Board Credits may not be applied to late fees.

9. If the Renter has outstanding fees owing to Ed Video, they will not be permitted to rent equipment until all fees are paid. The Renter may discuss this with staff to make arrangements.

10. In order to receive rental rates at the "A”, "C” or "E” level, the renter must complete a project description form. All rentals will be assumed to be "P” rate rentals until the description form is received.

Bookings
Each full business day of equipment use will be billed at the full day rate. 
Equipment picked up and returned on the same day before 3:00pm will be billed as half (.5) of the day rate.
Weekend rentals will be billed as 1.5 days. 
A full week rental (6 or 7 days) will be discounted and billed as 5 days.

Picking up equipment
Equipment may be picked up on the day prior to your booking between 3pm and 4:30pm, and must be returned by 11am on the day following your booking.

If you need to work outside of these time frames please talk to staff to avoid additional charges. Always call to let us know if you will be late in returning your equipment.



Training Requirement Policy

Members will be required to complete training and demonstrate their skill level with the equipment before being permitted to book or rent equipment.
This policy has been implemented to better protect our equipment, and to ensure that all members have access to the appropriate training. Speak with staff for more information.

  • Members will have to successfully submit and/or perform a test proving they have a working knowledge of the items to be rented (less complicated items are excluded from this, as determined by staff)

  • All members will be required to complete introductory workshops before being permitted to rent equipment (more details below)
OR
  • Experienced members may prove their skill is beyond the content of the workshops by submitting a related CV and demo reel, or examples of previous professional work where they were the operator of the equipment. Staff will use their discretion to waive or enforce the workshop requirement, in the best interest of the assets of Ed Video and its membership.

Reporting of Theft, Damage or Loss Policy

This policy will be enacted in the event of the theft of any Ed Video property, or property for which Ed Video is responsible.
If Ed Video property (equipment, computers, software, funds, or otherwise) is in the care of an Ed Video member or other renter at the time of theft, or suspected theft:
  • The Renter/Member must report the theft to Ed Video immediately by phone or in-person. Outside of business hours, the report should be made through the answering machine and confirmed by the member at the next opening of Ed Video’s office.
  • The Renter/Member must report the theft to the police. A copy of the completed police report must be provided to Ed Video immediately, or at the next opening of Ed Video’s office. Ed Video expects to possess a copy of the report within 24 hours of the occurrence of the theft.
  • In some cases, such as when the value of the object is minor, the member may chose to pay the cost of replacement cost out of pocket instead of filing a police report. This must be done immediately, or at the next opening of Ed Video’s office.
Ed Video is committed to protecting the assets of the organization and its members. In the event of theft, the centre cannot wait for the member to file a police report. A copy of the police report is expected immediately, or at the soonest opening of the Ed Video’s office. 
If the member cannot or will not comply with this expectation, Ed Video will file a report of theft against the member within 24 hours. 
In the event of loss or damage to Ed Video property, the Renter/Member is expected to notify staff immediately and reimburse the centre for the loss/repair costs within 72 hours, unless suitable alternative arrangements have been made with staff.
If the Renter/Member fails to reimburse Ed Video for repair or replacement costs, Ed Video will pursue the appropriate legal channels to recover the costs.
